Destination

A grouping of items, typically based on geographic locations or experiences, used to create a structured taxonomy for offerings on website. 

Item

Each individual offering item is associated with one or more packages, allowing for a tailored schedule of departures. This feature manages content layout, booking requirements (such as address, passport, SSN), and controls the visibility of limited-availability items, ensuring a seamless and structured booking experience.  Options for AI driven web content and images marketing material. 

Package

Each package is tied to a specific item, serving as a bookable itinerary for set travel dates. It includes pricing details, flexible payment options, a detailed schedule, curated activities, and optional add-ons. Flexible Payment Scedule

Each package can be configured to accept multiple payments, ensuring flexibility for travelers. Payments are structured with a due date, optional designated payment method, and calculated amounts based on:

  • Fixed amount per traveler
  • Percentage of the total package price
  • Remainder-based calculation, covering the balance after other payments

This setup allows for customized payment plans, improving convenience and enhancing the sales experience.

Activity types

Each package may include a variety of activities, such as hotel stays, flights, transportation, guided tours, dining experiences, and other customizable options.

Registered per traveler

Activity registration per traveler can be set automatically per booking, added as a paid add-on, or modified by users. It can also serve as a placeholder for automation, such as Power Automate (PA)

Publishing a New Travel Item

Once a new travel product is identified, the following process is used to publish the offering on the WordPress (WP) site:

  1. Design a Template in WordPress:
    Create and store a template in WP. Use AI tools to generate descriptions and source images during the design process.
  2. Create an Item in Travel Agent (TA):
    Create an item in TA and link it to the WP template.
  3. Set Up the Package in TA:
    Create a package with the status “Preparation.” Fine-tune the backend details, and at the same time, an unpublished page is generated for the package. The booking information is accurate, while the layout follows the template.
  4. Customize the Package Design in WP:
    Adjust the package design in WP if it differs from the original template.
  5. Publish the Package:
    When the package is ready for sales, change its status from “Preparation” to “In Sales.” This automatically publishes the package on the website, making it available for bookings.
  6. Indicate Sold-Out Status:
    When all seats are sold out, update the short description on the website to reflect this status.

Activate Waitlist Registration:
When a package is sold out, the system automatically switches all booking options to waitlist registration, allowing the backend to manage new waitlist entries.

Unpublish the Package:
If the package status in TA is changed from “In Sales” to any other status, the package is automatically unpublished and no longer available on the WP site.

WordPress-IP

Providing an IP for WordPress that equips web designers with components for:

  • Booking travelers
  • Searching for packages based on taxonomy or other attributes
  • Grouping based on taxonomy

When information is updated in the backend, the changes are automatically reflected on the frontend.

When a package is in Sales but has no seats available, web vistors are automatically given the option to register for the waitlist.

The waitlist can be viewed directly within each package or displayed as a customizable query, allowing you to modify columns and rows based on your preferences.

Backend Waitlist Management

The waitlist does not generate standard bookings but functions as flexible worksheet entries that can be easily managed and updated. For example:

  • Convert to Bookings: Seamlessly change waitlist
    entries into confirmed bookings when seats become
    available.
  • Transfer to New Packages: Move waitlist entries to a
    new package if one is created.
